About this role

FACILITATE THE MOMENTUM.

THE CEO MOVES FAST. THE PERSON BEHIND THE SCENES MOVES FASTER.

At DuraServ, the Executive Assistant to the CEO sets the gold standard of performance — every day.

DuraServ is looking for an Executive Assistant who thrives in a high-stakes, fast-moving environment — someone who anticipates what's needed before it's asked, executes with precision, and earns trust through consistent, high-caliber performance.

Corporate Headquarters | Coppell, TX | On-Site

Full-Time | Reports Directly to the CEO

THIS IS NOT A COORDINATOR ROLE. THIS IS A PERFORMANCE ROLE.

DuraServ is a national leader in commercial dock and door solutions, operating across nine U.S. regions with a workforce of field technicians, sales professionals, branch leaders, and a growing corporate team. Our CEO leads a complex, acquisition-driven organization where executive bandwidth is a strategic resource — and the person who manages that bandwidth has direct influence on how the company performs.

The Executive Assistant to the CEO is the operational nerve center of the executive office. You'll own the CEO's calendar end to end — managing conflicts, prioritizing commitments, and creating the structure that allows high-stakes decisions to happen at the right time with the right people in the room. You'll coordinate complex travel itineraries, reconcile expenses, prepare briefing materials and presentations, manage corporate event logistics, and represent the CEO's office with professionalism across every interaction.

This role requires more than administrative excellence. It requires discretion, presence, and the kind of professional judgment that C-suite leaders depend on to protect their most valuable asset: their time.

WHAT YOU'LL DO

Own the CEO's Calendar and Coordination

* Manage the CEO's calendar with precision — resolving conflicts, prioritizing internal and external commitments, and ensuring every meeting has the right preparation, context, and follow-through
* Coordinate and prepare for meetings at all levels: internal leadership, external partners, board interactions, and cross-functional working sessions — including agendas, pre-reads, and post-meeting action tracking
* Anticipate scheduling needs before they arise and proactively structure the CEO's time to protect focus for high-priority strategic work

Manage Travel and Expense Reconciliation

* Plan and execute complex domestic travel arrangements — flights, accommodations, ground transportation, and detailed itineraries that account for time zone changes, back-to-back commitments, and executive preferences
* Reconcile travel expenses with accuracy and timeliness, ensuring receipts, coding, and reimbursements are processed correctly and in compliance with company policy
* Manage logistics for last-minute changes with composure — adjusting plans in real time without losing a step

Produce Executive-Level Communications and Materials

* Research, compile, and prepare executive briefings, reports, and presentations using Microsoft PowerPoint, Word, and Excel — with output quality that reflects the standard of the office
* Draft, manage, and prioritize communications in Outlook on behalf of the CEO — responding to routine inquiries, routing action items, and ensuring nothing falls through the cracks
* Manage corporate event logistics from end to end: registration, agendas, attendee communications, vendor oversight, and budget tracking

WHO YOU ARE

You've worked close to the top before — and you know what it takes to earn and keep the trust of a senior executive.

* Exceptionally organized — you manage multiple priorities simultaneously without losing accuracy, and your systems for tracking commitments, follow-ups, and deadlines are airtight
* Detail-oriented by nature — a misaligned calendar block, a formatting error in a presentation, or an incorrect expense code isn't something you let slide; you catch it before it becomes someone else's problem
* Personable and professionally polished — you engage warmly and confidently with executives, board members, external partners, and internal team members at every level; you represent the CEO's office with grace
* Discreet and trustworthy — you handle sensitive information, confidential communications, and executive matters with the judgment and discretion that high-visibility roles demand
* Technically fluent — you are highly proficient in Microsoft Outlook, PowerPoint, Word, and Excel, and you use those tools to produce materials that reflect executive-level quality
* Proactive, not reactive — you don't wait to be told what needs to happen; you see around corners, flag issues early, and take initiative to resolve problems before they escalate

WHAT WE'RE LOOKING FOR

Required

* Minimum 2 years of executive administrative support experience directly supporting C-suite leadership — or 3 to 5 years of paralegal or high-level administrative equivalent experience
* Demonstrated experience managing high-volume, complex calendars and travel coordination for senior executives with competing priorities
* Advanced proficiency with Microsoft Office 365 — specifically Outlook, PowerPoint, Word, and Excel — with the ability to produce polished, executive-ready materials independently
* High School diploma or equivalent required; Associate's or Bachelor's degree preferred
* Experience reconciling travel expenses and managing reimbursement processes with accuracy and adherence to company policy

Preferred

* Prior experience supporting a CEO or President in a mid-size to large corporate environment
* Background coordinating corporate events, board meetings, or executive off-sites — including vendor management and budget oversight
* Familiarity with expense management platforms and corporate travel tools
* Experience serving as a gatekeeper and liaison between a senior executive and internal/external stakeholders
