Position Summary:
Serves as the primary administrative partner to the leadership team and a key coordinator for office operations. Navigate complex vendor relations, oversee asset management, and act as a high-level liaison between HR, Finance, and external government units.
Core Responsibilities:
1. Executive Support & Coordination
- **Calendar & Travel:** Manage complex scheduling and coordinate travel, events, and activities for the Founders.
- **Documentation:** Provide high-level documentation support, including the creation and refinement of presentations and decks.
- **Global Liaison:** Serve as a point of contact for the UK office, including visitor notifications for their reception team.
- **Authorized Representative:** Act as the company’s authorized representative for operational requirements as approved by the board.
2. Facilities & Asset Management
- **Asset Oversight:** Reconcile and manage the fixed asset registry for office furniture and equipment, including issuance and retrieval.
- **IT & Infrastructure:** Consolidate and maintain software and infrastructure data to facilitate payment requests and monitoring.
- **Workspace Maintenance:** Conduct monthly facility audits to ensure a professional and functional workspace.
- **Records Integrity:** Maintain administrative records, including asset registries, contract databases, and filing systems on a weekly basis.
3. Procurement & Finance Liaison
- **Supply Chain:** Oversee procurement of equipment, services, and office/pantry supplies in compliance with company policy.
- **Vendor Relations:** Manage vendor service contracts and reconcile utility payments.
- **Financial Admin:** Handle petty cash for small-value purchases (emergency repairs, pantry) and manage the liquidation of Official Receipts (ORs).
