Senior Executive Assistant & Recruitment Operations Manager

Philippines Based | Full-Time | Remote

We’re looking for a highly experienced Senior Executive Assistant & Recruitment Operations Manager to support a Founder and senior management team within a growing Australian recruitment business.

We want a smart, highly organised operator who understands recruitment operations, finance, systems, AI and executive support that works autonomously and get things done.

You MUST Have

• Recruitment operations experience
• **JobAdder** experience
• Strong **Xero** experience
• AP, AR and invoicing experience
• Confidence chasing overdue payments
• Strong diary and travel management skills
• Excellent Excel / Google Sheets skills
• Experience creating SOPs and improving processes
• Current hands-on use of **Claude, ChatGPT or similar AI tools**
• Experience using AI automation or agentic workflows
• Excellent written and spoken English
• Experience supporting senior managers or business owners

The Role

• Executive support
• Diary and travel management
• AP, AR, invoices and payments
• Weekly cashflow administration
• Debtor follow-up
• SOPs and process improvement
• AI and workflow automation
• Staff onboarding and HR administration
• Management reporting
• Business administration and projects
• Supporting a growing team across Australia and the Philippines

About You

You’re proactive, commercially aware, financially confident and extremely organised.

You don’t wait to be chased.

You see what needs to happen, take ownership and close the loop.

You’re comfortable moving from JobAdder, to Xero, to an overdue invoice, to onboarding a new employee, to building an AI workflow all in the same day.
