## Role purpose

The Operations Manager runs the day-to-day engine of the clinic. They manage the operations staff, own data integrity and reporting, coordinate pharmacy and supply chain workflows, and hold administrative ownership of clinical software platforms. The role reports to the CMO and CEO and is the operational counterpart to clinical leadership.

## Key responsibilities

Managing operations staff

• Manage and develop the operations staff across admin, intake, and patient services
• Set workflow standards, KPIs, and performance expectations
• Coach team members through difficult patient interactions and operational escalations with high emotional intelligence
• Build a stable, high-trust team culture

Planning and reporting

• Translate clinic priorities into quarterly and monthly operational plans
• Build and maintain a regular reporting cadence to the CMO and CEO covering patient volumes, throughput, compliance metrics, and operational performance
• Own dashboards, reconciliations, and operational metrics
• Translate data into operational decisions and surface issues before they escalate

Data management

• Own the integrity of clinic data across all platforms and pharmacy dispensing systems
• Identify and remediate data capture gaps; reconcile unique patient counts across systems
• Maintain data hygiene standards and ensure consistent data entry practices across the team

Pharmacy and supply chain coordination

• Manage relationships with partner pharmacies and dispensing channels
• Coordinate script release workflows, substitution handling, and product availability resolution
• Liaise with suppliers on product flow, stock status, and operational changes
• Resolve dispensing friction in partnership with prescribers and patients
