About this role
Description
Location: Fishkill, NY, In Person
Employment Type: Full Time
Salary: $55,000 to $65,000 annually
A Hands On Role for a Natural Problem Solver
Healthy Kids Extended Day Programs is a rapidly growing childcare organization operating across approximately 15 states. We provide before and after school programs, summer programs, Early Learning Centers, and Universal Pre Kindergarten programs.
We're looking for a hands on, solutions oriented professional to help manage and improve our regulatory compliance, child registration, and subsidy operations.
This role is for someone who enjoys getting into the details, solving problems, tracking down missing information, and making sure things get done. You'll take personal ownership of day to day issues while also coordinating projects, collaborating across departments, and helping delegate tasks when appropriate.
We're also investing in automation to reduce repetitive work and improve efficiency. You'll help identify opportunities, work with each team's designated automation point person, coordinate next steps, and ensure improvements are implemented successfully.
You don't need childcare experience. We welcome candidates from healthcare administration, compliance, enrollment, benefits administration, government programs, education, and other detail driven environments.
What You'll Do
Registration and Subsidy Operations
• Help ensure applications, documentation, eligibility requirements, and renewals are handled accurately and on time.
• Follow up on missing information, pending approvals, and unresolved issues.
• Work directly with Registration and Subsidy teams to resolve problems and improve processes.
• Maintain visibility into outstanding items and ensure they are followed through to completion.
• Identify recurring issues and develop practical solutions to improve accuracy, efficiency, and the experience for families and internal teams.
Regulatory Compliance
• Track required child health documentation, employee qualifications, licenses, certifications, renewals, and regulatory deadlines.
• Research state specific requirements and translate them into practical procedures.
• Review records, conduct audits, identify gaps, and follow through on corrective actions.
• Address missing or expiring documentation before it becomes a compliance problem.
• Maintain clear tracking and reporting so leadership can see what is complete, what needs attention, and what remains outstanding.
Process Improvement and Automation
Healthy Kids is investing in automation to reduce repetitive tasks, improve accuracy, and create more efficient processes. You'll help identify where automation can make the biggest impact and work with the appropriate teams to move improvements forward.
• Learn existing workflows and identify repetitive tasks, inefficiencies, and opportunities for improvement.
• Collaborate with each department's designated automation point person to evaluate, prioritize, and coordinate automation opportunities.
• Help define requirements, clarify responsibilities, delegate action items, and coordinate next steps for automation projects.
• Follow up with team members to monitor progress, resolve obstacles, and keep projects moving toward completion.
• Review updated workflows to ensure they address the original problem and deliver the intended improvements.
• Continue managing day to day operational issues while helping teams transition to more efficient processes.
We're looking for someone who understands how the work gets done, recognizes opportunities to do it better, and can bring the right people together to make improvements happen.
You'll collaborate with Registration, Subsidy, Operations, HR, Finance and Business Transformation, and senior leadership to improve processes and support the organization's continued growth.
Requirements
Who You Are
You're organized, resourceful, detail oriented, and comfortable balancing hands on work with project coordination. You take ownership, follow through, and look for better ways to get things done.
• You're willing to dig into the details and resolve problems yourself.
• You can coordinate projects, delegate tasks when appropriate, and hold people accountable for commitments.
• You enjoy analyzing workflows and finding ways to simplify or automate repetitive work.
• You can manage multiple priorities, deadlines, and follow ups without losing track.
• You're comfortable with spreadsheets, databases, reporting tools, and learning new technology.
• You communicate clearly and work effectively across departments.
• You take initiative and focus on results, not just identifying problems.
Your experience might include compliance, healthcare administration, registration or enrollment, subsidy or benefits administration, licensing, credentialing, auditing, operations, project coordination, or process improvement.
Childcare and multi state regulatory experience are helpful, but not required.
What Success Look Like
You'll help establish reliable systems and processes that lead to:
• Accurate and complete child registrations.
• Better tracking and resolution of subsidy related issues.
• Complete and up to date required documentation.
• Licensing renewals and compliance requirements completed on time.
• Fewer recurring problems and less manual rework.
• Clear visibility into outstanding items and accountability for resolving them.
• Successful coordination of automation initiatives that reduce repetitive tasks and improve operational efficiency.
Why Healthy Kids?
This is an opportunity to make a tangible impact in a growing organization. You'll solve real problems, improve processes, coordinate meaningful projects, and help build systems that can scale with our continued growth.
You'll work across departments and collaborate with senior leadership, including the CEO, while contributing to our mission of providing high-quality programs for children and families.
